What you need

  • Gmail
  • Zapier
  • ChatGPT

When it runs

A new email lands in your support inbox or label.

Steps

  1. In Zapier, trigger on "New email matching search" with label:support.
  2. Add a ChatGPT step with the prompt below and paste in your help-doc text as context.
  3. Use the Gmail "Create draft reply" action so nothing is sent automatically.
  4. Add a label "bot-drafted" so you can see which threads already have a draft.
  5. Once a week, read five drafts next to what you actually sent and update the help text the bot uses.

Prompt or template to copy

You answer support emails for {product}. Use only the help notes below. If the notes do not cover the question, write "NEEDS HUMAN" on the first line and a one-line summary. Keep it under 120 words, friendly and plain. Notes: {paste notes}. Email: {email}

Why this usually works

Why it worksDrafts, not sends, keep a human in the loop while removing the blank-page part of support.

What to watch for

Watch forThe bot will invent answers if the notes are thin; the NEEDS HUMAN line is your guard.
Watch forRefund and legal questions should always skip the bot; filter them out with a keyword search.
