What you need
- Gmail templates
- ChatGPT
When it runs
Once, then monthly.
Steps
- Search your Sent folder for replies you wrote to common questions.
- Paste five to ten of them into ChatGPT with the prompt below.
- Save each result as a Gmail template (Settings > Advanced > Templates).
- Name templates by the customer question, not your internal term.
- Review monthly and delete any that went stale.
Prompt or template to copy
Turn these support replies into reusable templates. Replace customer-specific details with [brackets]. Keep my tone. Under 100 words each. Give each a title that matches how a customer would ask.Why this usually works
Why it worksYour own past answers already match your voice and policies, so templates need little editing.
What to watch for
Watch forTemplates drift out of date when pricing or features change; date each one.
Watch forDo not let templates become so generic that customers feel brushed off.
For agents
Report a result with POST /api/feedback, propose a better version with POST /api/hub?op=propose. See /agents.
