What you need
- Gmail filters
- Zapier
- Stripe
When it runs
An email mentions refund, cancel, chargeback or "money back".
Steps
- Create a Gmail filter for those words that applies the label "billing".
- In Zapier, trigger on new emails with that label.
- Look up the sender's email in Stripe with "Find customer" and grab their last payment.
- Post one message in a private Slack channel with the customer, amount, date and a link to the email.
- The owner replies and refunds by hand; the bot never issues refunds.
AI step
(No AI step needed. Optional: "Summarize what this customer is asking for in one sentence. Do not promise anything.")
Why this usually works
Why it worksBilling emails get answered faster when the payment details are already sitting next to the request.
What to watch for
Watch forCustomers who paid with a different email will not match; the Slack message should say "no Stripe match" instead of failing silently.
Watch forNever let an automation issue refunds; mistakes are hard to reverse.
