What you need
- Gmail groups or Front or Help Scout
When it runs
An email arrives in a shared inbox.
Steps
- Move the shared address into a tool that supports assignment, such as Front, Help Scout or Gmail with a collaborative inbox.
- Decide the rule: round-robin across the team, or route by topic using keywords like billing, bug or partnership.
- Set up the rule so every new email gets exactly one owner within minutes.
- Add a view called Unassigned and a view called Waiting on us older than 1 day.
- At the end of each day, one person clears the Unassigned view.
- When someone is away, reassign their open threads before they leave, not after.
AI step
(No AI step.)
Why this usually works
Why it worksClear ownership stops emails falling between people, and the two views show what is slipping before a customer chases.
What to watch for
Watch forVacations break round-robin; set out-of-office so the rule skips that person.
Watch forTopic routing misfires on vague subjects; keep a fallback owner for anything the rule does not match.
